01 / Make room for the work
Start with the repetitive part of your inbox. Build a small, useful flow, agree its boundaries and expand when the results justify it.
Label messages by topic, spot urgent enquiries, identify follow-ups and route them to the right owner.
Bring together approved answers, order details or CRM notes to prepare a draft your team can check.
Create a lead, update a Google Sheet, raise a task or request an approval. Track exceptions and keep a useful record.
02 / An example in motion
Explore a fictional business inbox with approved knowledge, reply review and a decision record. Six sample messages show how routine questions, uncertain requests and sensitive cases take different routes.
Interactive simulation. Sample messages and scripted checks only. No live AI, mailbox connection or emails sent. Edits and decisions stay in this page until you reset or leave.
Every reply waits for a person. Exceptions still go to a specialist.
A source you can check
These are fictional demonstration policies, not Open ERP service terms. Search the approved facts used by the samples.
Keyword filtering illustrates retrieval; it is not a live knowledge search.
Demo-only events recorded during this visit. A production flow can record message references, approved sources, reviewers and outcomes with agreed access and retention.
In a connected solution, a second model can review the draft alongside hard rules. Here, the indicators show scripted steps, not accuracy scores, live model output or private reasoning.
Try the opening-hours enquiry, a refund request or the bank-details change to compare the routes.
Ready. Choose a sample or run the full inbox.
03 / Choose your starting point
Use the tools that fit your team. We can configure the simple rules, connect an existing inbox or build a private workflow around your business.
For an owner or small team that needs better organisation before adding AI.
Start with rules. Add AI drafting if it solves a real gap.
Discuss a Gmail setupFor Gmail or Google Workspace users who want useful replies ready to check.
Mailbox permissions and review rules are agreed before connecting.
Explore assisted repliesFor a shared inbox that needs to work with sales, service and operations.
Connect through supported APIs and agree what may change in each system.
Map a connected workflowFor teams that need more control over processing, integrations and ownership.
Hosting, maintenance, licences and any external data flows are scoped together.

£40 is a starting price for a simple email setup, not the full studio shown above. AI usage, supplier subscriptions, hosting and ongoing support are scoped separately. Any applicable VAT and recurring charges are confirmed in your quote.
04 / Design it around your day
We start with real examples and a named owner. Then we test routine messages and awkward exceptions before deciding what can run on its own.
Tell us about your inboxWhich inbox? Which repeating questions? Who owns the answer? Bring a few redacted examples and current policies.
Choose approved facts, systems and processing location. Set retention, access, a fallback owner and the actions the flow is allowed to take.
Run a draft-only pilot. Check misleading instructions, missing information, unusual requests and escalation paths. A second model adds a check; your rules still apply.
Choose documentation and training for your team, occasional support or a managed service with agreed monitoring and review.
A few useful answers
Yes. Simple filters, labels and templates may be enough. If AI drafting is useful, a connection can prepare replies while your team keeps working in Gmail. Google Workspace permissions, app verification requirements and the exact connection are checked during scoping.
No. Draft-only is a useful starting point. Automatic replies can be limited to agreed, low-risk topics after testing, with a pause control and a person responsible for exceptions. Financial changes, sensitive cases and unclear requests need an explicit handover policy.
Where your system offers a suitable connection, we can retrieve selected records or create tasks and leads. Customer identity, access rights and permitted updates must be defined. Integration availability and cost are confirmed before work starts.
Local models and self-hosted workflows can keep selected processing on your infrastructure. Your email provider, remote support, updates or chosen integrations may still involve external services. We map those data flows and agree the maintenance responsibilities.
That is not a default assumption. Knowledge can come from material you approve. Corrections can become proposed updates for a named owner to review before they change future answers; model training is a separate decision.
See Google’s guidance on Gmail drafts, labels and mailbox permissions, or n8n self-hosting. Features and permissions depend on the service and setup you choose.
One inbox. One useful improvement.
